Using Autoreponders To Grow Your Business
 

E-mail has become your primary way to communicate with your customers. You are using it to answer questions, send proposals, follow up with customers, confirm orders, provide company information, and maintain relationships.

Are you using email as effectively as you should be? 

According to Jupiter Media Metrix: 
  • 38% respond within 6 hours or less
  • 62% take longer than 6 hours to respond
  • 33% take 3 days (or longer!) to respond
  • 24% have given up responding to customer requests entirely!

It is disheartening to see so many businesses not taking advantage of email.  Email makes it so easy to connect with your clients and to build a relationship with them.  

What most companies face is that when they first started using the Internet, they were getting only a few emails a day and could handle them just fine.  However, as they marketed their site and ran promotions, the interest in their company grew.  With this growth came more emails, more then they could handle.  At this point, they had four choices: to hire an additional person to maintain email, automate email responses, add more information to their website, or not to keep up with email responses.  

Not keeping up with emails is not an option if you wish to grow your company.  People using the Internet to purchase a product or service want the information NOW!  They are not willing to wait three or four days for an answer. Not responding will just send them to your competition... the ones that do respond quickly.  

Hiring an additional person to handle email is not very feasible for small companies.  You don't want to spend your increase in profits on another employee.  

Adding information to your website is a great idea! This will cut down on emails and phone calls asking the same questions, over and over again.  Adding a FAQ section to your website will help even more.

In my opinion, automating your email responses is your best choice.  Autoresponders are not difficult to use and are easy to set up and to update.  An autoresponder is basically an e-mail tool that will automatically respond to any incoming message to a particular e-mail address.  

For example:  From experience (emails you have received) you have learned that there are nine very common questions people ask before they purchase your product.  On your Web site, set up an email address - questions@yourcompany.com.  If you set up an autoresponder, the sender of an email to questions@yourcompany.com will automatically receive an email with your most frequently asked questions.  Your email might look something like this: 

Subject: To answer your question

Hello, 
Thank you for interest in XYZ Company.  Through the years we have learned that most people ask the same nine questions.  We know your time is valuable and that you want to make your buying decision quickly.  To this end we are sending your our most frequently asked questions and their answers.  

If your particular question is not answered below please feel free to contact us at info@yourcompany.com or call us toll free at xxx-xxx-xxxx.  

We look forward to servicing you in the future.

What does this do for you?  One important thing is that you do not need to take the time to respond to the email.  In addition, within 5 minutes of sending an email, your customer receives your autoresponder and is able to read through your more frequently asked questions.  

In addition, you started to build a relationship with this client because you: 

  • Anticipated their needs
  • Answered their questions in a timely manner
  • Made it easy for them to contact you for further assistance
  • Treated your customers with care and take your business seriously

Autoresponders can be set up on most email accounts.  If you are unsure on to set them up, contact your hosting provider or Internet Service Provider and they can assist you.
 

How Often Should I Submit My Site? 

As a general rule, every six weeks is safe and helps ensure good placement. A more aggressive marketing campaign would consist of submitting your site every four weeks. If you are submitting more then one page of your site, you will want to spread out the submissions over several days. There should be a least 24-hours between each submission to the same search engine.

How To Have A Successful E-Mail Marketing Campaign 

We all get far too much email every day and know that our clients do too. This is one of the reasons why many of us stay away from email marketing campaigns. I am the first to agree that there is too much junk email sent... however, targeted email messages are a great way to get the word out about your product or service. Here are a few tips to help make your campaign a success. 

WEBSITE IS FULLY FUNCTIONAL
Your email message should be directing the reader to your website that offers them much more information then your message can, plus you can track the number of visitors it generates. The link in your message should take them directly to the page where they can learn more about the offer. This page should be fast loading and informative with no Flash or other plug-ins. You already have their interest. Now sell your product!

IDENTIFY YOUR TARGET MARKET
The first step is to decide who your target market is. Will it be businesses? Women? Seniors? Your target market will determine what message you send, what the offer will be and who should receive your message. 

CREATE YOUR OWN EMAIL LIST
If you are serious about adding email marketing to your marketing program I recommend you build your own email list. It can get very expensive renting a list every time you want to run a special. An added benefit is that the list you generate will consist of a more targeted audience.  
A good way to do this is to have a place visitors can sign up for a FREE newsletter on your home page. Make the sign-up quick and easy. Add their email address to your database. Then, every month your company's name will appear in their mail box.  

KNOW WHO'S ON THE EMAIL LIST
Email marketing is great, however, "spammers" have given it a bad name. I am sure you have received an email saying that you could buy 300,000 names for $19.99. Sounds like a great deal. Right? Wrong. That list of 300,000 names was most likely generated by a computer surfing the Web and capturing email addresses from websites. Another thing to watch out for is that if you purchase a list of 300,000 email address and then send those emails from your own computer your ISP (Internet Service Provider) and/or your hosting company will know you did. Many of them have rules about sending out that many emails. They can and will turn off your internet access and your hosting company may just deactivate your website.  

RENT FROM A REPUTABLE COMPANY
Don't buy or rent your email list off the Web. You should talk to a human being and ask them where they got the email addresses and how targeted your list can get. A client of ours wants to target several zip codes in Northeast Wisconsin. I called five email marketing companies. Only one could target specific zip codes.

MAKE IT A GOOD OFFER
Don't announce that your company has just launched a website or has added a new employee. Use email marketing to announce a great special, a reason to buy from you, that is only offered through the email message.  

WELL WRITTEN MESSAGE
In email marketing, the words you use are what is going to drive people to your website. The copy, design, and offer must be "catchy" enough to stop them from hitting the delete button. This is no time for your daughter to practice her writing skills. If you don't feel anyone in your firm can do the job, hire a professional.  

DO A TEST MAILING! 
If your goal is to send your email message out to 100,000 email addresses start with a smaller number. Send only 12,000 emails with three different offers. For example: 4,000 will have a "50% off" offer, another 4,000 will offer a "cash back" offer, and another other 4,000 will offer "buy two, get one free". Send the other 88,000 emails with the offer that worked the best.  

MEASURE THE RESULTS
One of the greatest marketing benefits of the Internet is that it allows you to track what happens. Set up some kind of tracking so that you know how many people click on the link (click-through rate), how many of those people bought (conversion rate), and what was your cost virus your profit?
